Rosemary O’Neill, president of Social Strata, manages work, family and side projects in Producteev.

This spectrum of duties is entered using the web app. “I kinda appreciate being nagged when it’s time for me to do a blog update,” she reveals.

As far as her workflow and completing to-dos are concerned, Rosemary sets deadlines using the SCHEDULE IT feature. Any unscheduled tasks are then addressed by priority.

Rather than heavy processing of tasks (Covey method etc.), she finds this method simpler and easier to work with. In effect, Rosemary spends less time thinking about what it is she has to do and more time checking off the many items on her list. The Secret of High & Low Energy Tasks | a #GTD principle

Let’s face it, sometimes you just don’t feel like working.

It seems that no matter what you do, that you can’t get into that productivity zone.

Maybe your energy level is low. Maybe your attitude is off.

You just don’t feel like doing anything.

What do you do when this happens?

Sometimes You Feel Like it, Sometimes You Don’t

Sometimes you have all the energy in the world. You feel like you could eat an elephant in one sitting.

Other times you don’t have the concentration or energy to get anything done.

(For me this happens most often on airplanes…)

One of the best strategies to deal with your high and low energy times is to sort your tasks by energy level, as well.

When your productivity is in high gear is the time to get done the things that require the most effort and concentration.

On the other side of the equation, when you are dragging, is sometimes the best time to get done the smaller miscellaneous low effort todos.

For When You’re “On”

When you are on fire, and nothing can stop you, this is the time to attack the big important things on your list.

This is your “in the zone” time, when you are knocking down todos like they are bowling pins.

Ensure that you prioritize your todo list to get to your most important tasks done during this time frame.

Here are some high energy tasks:

Creative Work – Creating new ideas takes time and high levels of concentration.

Writing – I find I write best when I am “in the zone.” If don’t feel like writing, it can be hard to get anything down.

Brainstorming sessions – Staying on topic to hammer out a plan takes effort and works best with high levels of enthusiasm.

Meetings with Clients and Colleagues – You always want to be on your “A”game when meeting with clients and colleagues. Plan your engagements to match your energy levels whenever possible.

For When You Are “Not-So-On”

We all know what it is like to be “out of the zone.”

You don’t feel like doing anything. You feel like you could call it a day.

These are the times to take on low effort tasks that don’t require much concentration or follow-through.

Some great low energy tasks:

Reading – Reading is an activity that often gets pushed aside. But, it requires low levels of effort. I find that I actually get my reading done when I do it during periods of low motivation.

Filing – Filing papers and email is an essential task that requires low effort. When you aren’t motivated, this can be a great task to attack.

Cleanup – I don’t like to clean. But, this is my favorite low energy task. Whether it is the office or even laundry at home, cleaning is a great low energy task.

Working Out – Wait a sec, you say… if I don’t have energy, you want me to hit the gym?? Actually, yes! I find that even a short low energy workout can jump start your energy levels. You may surprise yourself once you get in motion.

Match Your Energy

Be prepared for when your energy is high and low.

By separating tasks by energy level, you can be productive during your high and low productivity times.

With a little strategy, you can maximize your ability to get things done …even when you don’t feel like it.

Q & A: How a team of 6 designers tracks hundreds of tasks a week with Producteev

Matthew Wheatley works at Luvkins Graphica, an ideas driven digital design agency based in Sydney, Australia. They recommend Producteev to any design team and thank our developers for lowering their blood pressure dramatically.

Q: How do you use Producteev?
Matthew: As prisoners of a tiny office with no windows, our team of 6 spend endless hours collaborating and working on graphic design and web design for clients such as Pizza Hut, KFC, clubs and pubs throughout Australia. While our clients and work always come first, our team and culture is a close second. We do what we do because we love it, hence we make our work what we love. This includes playing xBox, watching cable and eating absolute rubbish while on lockdown. In a nutshell, Luvkins Graphica services companies large or small, focusing heavily on providing smaller businesses the opportunity to access a creative agency for their marketing needs.

We use Producteev all day every day from client tasks to personal tasks using a single workspace rather than multiple workspaces since our jobs are often short in duration. We simply label each task in Producteev with a job number and name that references to the job folder on our server. (Our job number is also referenced to its own notebook in Evernote which enables us to look up artwork thumbnails quickly especially with archived jobs.)

We simplify and breakdown each task [similar to the GTD method] such as “send invoice” or “confirm artwork is ok” and maintain tasks by the hour, re-assigning dates and times where necessary. While on the road or visiting clients, we add tasks via iPhone or iPad and have most recently applauded the Google Apps plugin for creating a task directly from email, which saves enormous amounts of time when clients send feedback.

Q: Describe your experience with Producteev.
Matthew: With my brain starting to go crazy with tracking jobs, we needed a task manager that was:

Simple and convenient to use especially when adding tasks (other task managers took just as long to create the task as it would to complete it)
Web / iPhone / iPad compatible for accessibility
Cool looking, or at least half cool!
Able to work with our workflow and not the other way around
Keeping all users tasks synced automatically
Accepted by our programming team as “Good Enough”

After sifting through dozens and dozens of Task Management tools and then some, we were very fortunate enough to come across Producteev. All New Awesomeness: Recurring Tasks

We are happy to report recurring tasks is now available from your task list.

Access it from the SCHEDULE pop up.

Begin by typing something into the field marked Repeat this task every. For instance, typing “m” shows all the possibilities beginning with that letter.
After selecting your recur criteria, press enter. The text will turn green.
Save, just to the right or using the blue button at the bottom.

Any tasks set to recur will have a circular arrow near their deadline. The feature is available in Calendar view and if you sync with Gcal, repeat will also occur there. Below is the screencast. Enjoy!
